Importing to your CRM

Step-by-step import instructions for HubSpot, Salesforce, Pipedrive, Zoho, and Google Sheets. Map columns once, re-import in 30 seconds every week.

Before you import

All Shovel Radar files are standard XLSX format with consistent column headers. Most CRMs need you to map columns only on the first import — after that, re-importing the same product every week uses the same mapping automatically.

Tip: save your column-mapping template after the first import. Every CRM listed below lets you save or name a mapping. This saves the 2-minute mapping step every subsequent week.

Don't import the README tab. Delete it or use "select sheet" during import to choose only the data tab (Sheet1 or the named data sheet). The README tab contains text instructions and will confuse the importer if included.

HubSpot

  1. In HubSpot, go to Contacts → Import (top right).
  2. Choose Start an import → File from computer.
  3. Select Contacts as the object type. (Use Companies if you prefer to import as company records.)
  4. Upload your XLSX file. HubSpot auto-detects column headers.
  5. Map the columns using the table below. HubSpot will suggest matches — confirm or correct each one.
  6. Review the import summary and click Finish import.

Create custom HubSpot properties for columns like Lead Score, Trade Phase, and When to Call. Go to Settings → Properties → Create property.

Salesforce

  1. Go to Setup → Data Import Wizard (search "Data Import Wizard" in Setup search).
  2. Choose Accounts or Leads as the object.
  3. Select Add new records (or "Add and update" to avoid duplicates).
  4. Upload your XLSX. The wizard auto-maps recognised column names.
  5. Map remaining columns manually using the column-mapping table in the wizard.
  6. Review and click Start Import. Results arrive by email.

Tip: use External ID mapping on the Permit Number column to prevent duplicate imports of the same permit across weekly files.

Pipedrive

  1. Click the + button → Import data.
  2. Choose From a spreadsheet.
  3. Upload your XLSX and select the data sheet.
  4. Choose Organizations as the import type (or People + Organizations if you want to split company and contact).
  5. Map fields in the next step.
  6. Click Start import.

Pipedrive lets you save the mapping as a template for re-use. Name it "Shovel Radar — [product name]" for easy retrieval.

Zoho CRM

  1. Go to Leads → Import or Accounts → Import.
  2. Choose Import from file and upload your XLSX.
  3. Map columns in the preview step.
  4. Select Add (new records only) or Add or Update.
  5. Click Import.

Google Sheets

  1. Open Google Drive.
  2. Drag and drop your XLSX file onto Drive, or click New → File upload.
  3. Once uploaded, double-click the file and choose Open with Google Sheets.
  4. The XLSX opens as a Google Sheet with all formatting and data intact.

For a master tracking sheet that accumulates all weekly deliveries, use Data → Import in an existing Sheet and choose "Append to current sheet" on each weekly import. This builds a rolling database of all leads received.

Avoiding duplicate records

The Permit Number column is a unique identifier per permit record. Use it as a deduplication key when re-importing the same product the following week — most CRMs support "update if exists, create if new" logic based on a unique external ID.

For licence-based products (no permit number), use Business Name + Address as a composite deduplication key.
